Location: Kitgum, with occasional travel to Agago, Lamwo, and Pader districts
Type: Full-Time
Job Purpose:
The Administrative Assistant will manage administrative, procurement, logistics, stores, and reception functions to ensure the smooth day-to-day operations of the Kitgum field office under the TOGETHER Project. The role provides essential support to the project team and contributes to the effective implementation of project activities.
Project Background:
The TOGETHER Project is a six-year, multi-country initiative funded by Global Affairs Canada (GAC) and ADRA Canada, implemented in Uganda by ADRA Uganda in Agago, Kitgum, Lamwo, and Pader districts. Running from September 2021 to August 2027, the project seeks to improve the health and rights of marginalized adolescent girls, women, and children under five. Core areas include sexual and reproductive health and rights (SRHR), sexual and gender-based violence (SGBV) response, nutrition, inclusive health systems, and community-driven advocacy.
Key Duties and Responsibilities:
- Manage front desk and reception duties, including welcoming visitors and handling incoming and outgoing correspondence.
- Maintain organized project documentation and filing systems (both physical and electronic).
- Support store management, including inventory updates, goods issuance, and stock reconciliation.
- Handle procurement processes: prepare requests, follow up on purchases, and liaise with suppliers.
- Track office supplies and ensure timely replenishment through proper procurement procedures.
- Coordinate logistics for project workshops, trainings, and events.
- Assist project teams with travel, transport, and accommodation arrangements.
- Draft meeting minutes, circulate action points, and follow up on tasks.
- Ensure proper dispatch of mails, parcels, and internal communication.
- Perform other administrative duties as assigned by the Project Manager.
Required Skills, Experience, and Competencies:
- Diploma or bachelor’s degree in Procurement & Logistics Management, Public Administration, Business Administration, or a related field.
- 1–3 years of relevant experience in administration, procurement, stores, and logistics.
- Proficient in MS Office applications (Word, Excel, Outlook).
- Strong verbal and written communication skills in English.
- Knowledge of Luo language is an added advantage.
- Excellent organizational, multitasking, and time-management skills.
- High integrity, reliability, and interpersonal skills.
- Knowledge of donor-funded project operations, preferably in Northern Uganda, is an advantage.
- Willingness to travel occasionally to rural project locations.
